Automated Awarding Population

Using this form, you can define specific student populations for prioritizing initial award evaluations.

Only campuses that are enabled to use SFAAA through process activation will be available for selection on the Automated Awarding Population form. See Automated Process Activation.

Prerequisites

You must have:

  • Common - Configuration - View authorization

  • Financial Aid Automation - Configuration - Automated Awarding Population - Delete, New, Save, and View authorization.

Access Method

Select the Configuration tile > expand Financial Aid > select Automated Awarding Population.

Procedure to Display and Modify Staff Group Delegation Records

  1. Specify the Campus. The grid auto-populates with the associated records. Only campuses that are enabled to use SFAAA through process activation are listed.

  2. Review the records and the following values in the grid.

    ActiveClosed Specifies whether or not the associated record is active.

    Auto Repackaging PopulationClosed Setting to Yes enables you to configure the population for auto repackaging. All students who are queued for the repackaging job and who are within the population set to Yes will be repackaged. Note: Once a population is configured to Yes, it cannot be used as part of the Auto Packaging job - only as part of the Auto Repackaging job.

    CampusesClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

    Date AddedClosed The date when the item or person was added or the status change was entered.

    Date ModifiedClosed The date when the item was changed. On some pages, it also includes the timestamp for the time.

    Modified ByClosed The name of the person who changed the item.

    NameClosed The descriptive name of the item.

    The items displayed on the page depend on whether the following advanced feature is enabled (see Configure Advanced Features for Anthology Student):

    • Enable Advanced Auto Packaging ClosedSee details.

  3. To delete a population, select the check box for the appropriate record and select Delete.

  4. To edit a population record, select the link in the Name column. The Edit Automated Awarding Population form is displayed below the grid.

  5. To create a population record, select the New button in the grid toolbar. The New Automated Awarding Population form is displayed below the grid.

  6. Specify or edit the following population record properties:

    ActiveClosed Specifies whether or not the associated record is active.

    Auto Repackaging PopulationClosed Setting to Yes enables you to configure the population for auto repackaging.     When the Auto Repackaging Population field is configured to Yes, the Enrollment Date and ISIR Received Date fields are not displayed.

    Date Range Criteria

    Academic Years Start DateClosed The start date of the sequence. For the first sequence, Anthology Student defaults to the start date in the student's enrollment record. The start dates of the student's second and succeeding sequences are estimated using the number of weeks in the academic year or loan period and the number of weeks not enrolled. If needed, you can change the estimated date on the Academic Years tab. For loan periods, in most cases, the date should not be before the start date of the program version. For loan periods, the start date must be between the start and end dates for the Borrower-Based Academic Year (BBAY). From and To

    Enrollment DateClosed The actual date when the student enrolled in the program version. From and To

    ISIR Received DateClosed The Date ISIR Received field indicates the date the ISIR was imported into the school’s EDExpress software. From and To

    Number of days past the academic year start date to stop awardingClosed Number of days past the academic year start date to stop awarding. Valid values are 0 - 365.

    Number of days prior to the academic year start date to begin awardingClosed Number of days prior to the academic year start date to begin awarding. Valid values are 0 - 365.

    Other Criteria

    Award YearsClosed The financial aid award year.

    Areas of StudyClosed The various areas such as Major, Minor, or Concentration that the students have taken to complete their degree. The areas of study are configured by your institution.

    DegreesClosed The academic degree.

    Grade LevelsClosed The grade level for the student. Grade levels are configured by your institution and do not have to correspond to the option on the FAFSA or Stafford loan forms. The grade level is assigned to a student under Academic Records > Enrollment > Progress section. For a student to qualify for federal financial aid, a college grade level (1st year, 2nd year, etc.) must be assigned. For a Graduate PLUS loan, the grade level must be configured with the Department of Education ID 7 (Graduate/Professional or beyond).

    Packaging StatusesClosed The current packaging status of the award.

    ProgramsClosed The programs that the student is interested in. If you are selecting the values, you can select more than one program.

    Program VersionsClosed The program version associated with the student or item.

    Student GroupsClosed The name of the student group. If you are selecting a group and your institution has configured Anthology Student to limit groups to campuses, you can only select groups for the campus that you are assigned to. If you are selecting a group, it can also be filtered to display groups where you are the owner, public groups, and private groups where you have been given access.

    Student StatusesClosed Specifies the status of the prospect or student at your institution. Statuses vary by institution. They are configured by your institution. If you change the status for a student, a dialog is displayed so that you can confirm the change. If there are also tasks associated with the previous status, Anthology Student displays a dialog that you can use to select the tasks to keep and the tasks to close with the result of canceled.

    For a Student Status in the Active status category, you can configure Automated Awarding Populations only if the 'Status Represents a Title IV WithdrawalClosed At some institutions, students who are no longer attending classes are left in an Active/Attending status so that they can still log into the Student Portal. In this scenario, the “Status Represents a Title IV Withdrawal” check box can be selected to indicate that the status represents a withdrawal for Title IV purposes. If this attribute is selected, the Status Change process will treat a status change from an Active status to the new Active status with the Title IV withdrawal attribute as if the status change was from Active to Drop for purposes of determining the NSLDS Withdrawal Date, Date of Determination, and other downstream impacts to Financial Aid, Student Accounts, and other reporting (such as enrollment reporting and Clearinghouse). This check box is displayed only when Attending is selected for System Status and Withdrawn is selected for NSLDS Status. field is disabled (see Settings > System > Status Changes).

    Auto packaging will only package or repackage funding for students who are in an Active status but have the "Status Represents a Title IV Withdrawal" field disabled. The system removes any status category from an already configured population when "Status Represents a Title IV Withdrawal" is enabled and saved.

  1. If you want to save and: 

    • Continue making changes, select the Save button

    • Continue to add another item to the list, select the Save & New button

    • Close, select the Save & Close button

  1. To close the New/Edit Automated Awarding Population form, select Cancel.
