Pools

If configured, you can use the Pools page to configure pools of courses that you can reuse. For example, you can create pools to build the elective and substitution pools in the course lists for areas of study and program versions.

If you enable pools based elective pools in version 21.1 or later, Anthology Student automatically creates pools for the catalogs created prior to 21.1 during the copy. The pools it creates are added and displayed in the list.

The pools Anthology Student creates have a name in the format Poolname OldCopy2. For example, if you had a pool with the name EP Art, it will appear in the list as EP Art OldCopy2. If needed, you can then modify and reuse those pools.

The courses in the pool are then maintained here and any changes you make are automatically reflected in the elective and substitution pools that use the pools so that you do not have to maintain those manually.

There is more than one method. You can: 

  • Select the course groups or individual courses you want in the pool
  • Create course rules that Anthology Student uses to add courses to the pool

The rules can include or exclude courses by the code you specified for these characteristics during configuration.  

  • Prefix
  • Code
  • Attributes
  • Levels
  • Groups

For example, you can create a rule that includes all the courses:

  • With the Prefix ART
  • That contain ART anywhere in the code

Once you have added the courses to the pools, there is also a preview tab that you can use to view and then order the list for advising and fulfillment. For example, you can move recommended course to the top of the list and specify the order of the courses.

The pools you specify here can be selected by staff members when they configure the course lists for: 

  • Areas of study (Select the Configuration tile > locate Academic Records > select Programs > select the name of the program in the list > select the New button and specify the general information or select an existing program version in the list > select the Course Lists tile.)

  • Program versions (Select the Configuration tile > locate Academic Records > select Area of Study > select the New button and specify the general information or select an existing area of study name in the list > select the Course List tile.)

Prerequisites

To view the page, you must have Academics - Configuration - View authorization.

To edit the page, you must have Academics - Configuration - Manage authorization.

When your institution configured the advanced features in the system settings for Anthology Student, it must have selected Yes for Enable Pool Based Elective PoolsClosed Select Yes to configure course pools. Once you have configured your pools, you can use the pools when you create a course list in the program version or area of study for elective and substitution pools. If a program version or area of study has existing catalogs, those can still be maintained manually by adding and removing course groups and individual courses. Select No to continue to manually create the elective and substitution pools by adding courses and course groups for each program version and area of study. .

If you want to use course rules, your institution must have configured and specified the characteristics it wants to use in the course rules. For example, to create a rule that uses a course prefix, your institution must have: 

  • Configured course prefixes (Select the Configuration tile > locate Academic Records > select Course Prefixes.)

  • Selected the course prefixes for its courses (Select the Configuration tile > expand Academic Records > select Courses.)

Access Method

Select the Configuration tile > locate Academic Records > select Pools.

Filters

By default, the grid displays all records for the campuses you are authorized to work with. You can use the drop-down at the top of the page to display only records for a specific campus.

Procedure to Add Courses to a Pool

  1. Select All Campuses or select a specific Campus.

  2. Review the values of the records in the grid.

  3. If you want to:

    • Add a new list item, select the New button on the toolbar

    • Edit an existing list item, select the name in the list

    • Add a new list item by copying and modifying an existing list item, select the name in the list and the Duplicate button on the toolbar

  4. Review, specify, or change the following values.

    ActiveClosed Specifies whether the associated record is active.

    CampusesClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

    NameClosed The descriptive name of the item.

  5. Select the Save button.

    Anthology Student enables the tabs for selecting and previewing the courses.

  6. Use one or both of the following methods to add the courses to the pool.

    Method You Want to Use Tab to Use Actions to Take on the Tab
    Add the courses in a course group or courses individually Course Selection
    1. Select the Add button.

    2. Select the Courses or Course Groups button. Anthology Student displays the courses or course groups common to all the campuses you selected for the pool.

    3. Select the courses or course groups you want in the list and select the Select button. Anthology Student adds the course to the lists on the Course Selection and Pool Preview tabs.

    Create rules that automatically add course that meet the criteria to the course list Course Rules
    1. Select the Add button. Anthology Student adds a new row to the grid.

    2. Select a value for RuleClosed If you want to start by including all courses, select Include All Courses. For example, if you want to include all courses and then choose to exclude courses. To specify rules that include and exclude courses, select Include/Exclude Courses. For example, if you want to only include courses with a prefix of ART and HIST. You can then combine it with exclude to exclude based on another entity. For example, from the courses with ART and HIST prefixes, you could exclude upper division (level) courses..

      If you selected Include All Courses for Rule, Anthology Student adds the rule to the grid that includes all courses. Otherwise, it is empty.

    3. Select the Add button. Anthology Student displays a new entry in the grid.

    4. Select the EntityClosed The characteristic of the course you want to use with the operator and value to determine the results. For example, if you selected Course Prefix Code for Entity and Start With for Operator and specify ART, Anthology Student all the courses with a prefix of ART..

    5. Specify the OperatorClosed The operator to be combined with the value to determine the results. If you specify Starts With, Anthology Student includes the courses with codes for the entity that start with the value you specify. If you specify Contains, Anthology Student includes the course with codes for the entity where the value you specify appears anywhere in the code. For example, if you selected Course Prefix Code for Entity and Start With for Operator and specify ART, Anthology Student all the courses with a prefix of ART. and ValueClosed A string that specifies the value you want combined with the operator to determine the courses to be included. For example, if you selected Course Prefix Code for Entity and Start With for Operator and specify ART, Anthology Student all the courses with a prefix of ART..

    6. Select the Apply Course Rules button.

    Anthology Student applies the rule to all the courses common to all the campuses you selected and displays the courses to the list on the Pool Preview tab.

Procedure to Preview and Order Courses in the Pool

Once you have added courses to the pool, you can use the Preview tab to review the courses and specify the order.

  • When you first create the pool, Anthology Student groups the courses by how you added them beginning with the first method you used. Anthology Student then lists them in alphabetical order by course code. For example, if you added the first 5 courses using a rule and then added 3 classes manually, the 5 added using the rule are on top and the 3 you added manually are on the bottom.

  • If you add courses manually or using rules after the pool is created, Anthology Student appends them to the end of the list.

  • If you remove the number for Order, Anthology Student moves it to the end of the list.

For example, if you use course rules to add courses and you specify an order, you will want to return to this tab to place any newly added courses in order.

  1. Select the Pool Preview tab and review the following values in the grid.

    ActiveClosed Specifies whether the associated record is active.

    Added FromClosed Indicates whether the course was added via rules engine or manually added into the pools.

    Course CodeClosed The code for the course.

    Course NameClosed The name of the course.

    Course TypeClosed The various types of courses available at the institution, for example, lecture, laboratory, internship, and so on.

    CreditsClosed The credits that the student achieved in the course.

    HoursClosed The number of hours.

    LockClosed Select this check box to lock the order of the row. When selected, the order of the course is not changed when you select the Reset button.

    OrderClosed Specifies the position of the course in the pool list. If more than one course has the number, they are listed alphabetically for that number.

    PrefixClosed The course prefix.

    RecommendedClosed Indicates that the course is recommended. When selected, Anthology Student always displays the course at the top of the list. If you also specify a position using Order, the recommended courses are listed at the top in that order.

  2. Take the appropriate action.

    Task Action to Take
    Lock the order number for the course in the list Select the LockClosed Select this check box to lock the order of the row. When selected, the order of the course is not changed when you select the Reset button. check box.
    Move a course to the top of the list and lock the order number for the course Select the RecommendedClosed Indicates that the course is recommended. When selected, Anthology Student always displays the course at the top of the list. If you also specify a position using Order, the recommended courses are listed at the top in that order. check box.
    Order the list Specify the number in the OrderClosed Specifies the position of the course in the pool list. If more than one course has the number, they are listed alphabetically for that number. column.
    Remove a course from the pool
    1. Select the record in the list.

    2. Select the Remove button. Anthology Student displays a dialog box.

    3. Select the Remove Course button.

    Anthology Student removes the course from the pool. If the course was added using rules instead of manually, Anthology Student adds it back to the pool the next time you apply the rule. It is appended at the bottom of the list.

    Reset the list so that the courses that are not recommended or locked to have the order number that they had when they were originally added to the list

    Select the Reset button.

    Anthology Student resets the order of courses.

  1. If you want to save and: 

    • Continue making changes, select the Save button

    • Continue to add another item to the list, select the Save & New button

    • Close, select the Save & Close button

If New or Changed Courses Meet a Course Rule

Anthology Student does not automatically include or exclude new or changed courses to the pools.

For example, you will need to rebuild the pool in these cases.

  • You have a rule that includes all the courses with the prefix ART and you add more courses with the prefix

  • You have a rule that includes all the courses with the prefix ART and change or remove the prefix on some of the courses

You can either: 

  • Access each of the configured pools and select the Apply Course Rules button on the Course Rules tab. (Select the Configuration tile > locate Academic Records > select Pools.)

  • Use the Update Pools process to update all the pools at once (Select the Processes tile > locate Academic Records > select Update Pools.
