View Courses and Manage Pools for a Program Version

You can use the Electives and Substitutions tab on the Course Lists page to view the course from the pools that are included in the order they will appear during advising.

It also provides another option for adding and managing the pools in the elective or substitution pools.

The page displays the elective and substitution pools for the selected catalog.

Prerequisites

You must have Academics - Configuration - Manage authorization.

To use pools to build elective or substitution pools, your institution must have: 

  • Selected Yes for Enable Pool Based Elective PoolsClosed Select Yes to configure course pools. Once you have configured your pools, you can use the pools when you create a course list in the program version or area of study for elective and substitution pools. If a program version or area of study has existing catalogs, those can still be maintained manually by adding and removing course groups and individual courses. Select No to continue to manually create the elective and substitution pools by adding courses and course groups for each program version and area of study. when it configured advanced features in the system settings for Anthology Student

  • Configured pools (Select the Configuration tile > locate Academic Records > select Pools.)

You must also have selected a catalog added in version 21.1 or later on the Course Lists tab.

Access Method

Select the Configuration tile > locate Academic Records > select Programs > select the name of the program in the list > select the New button and specify the general information or select an existing program version in the list > select the Course Lists tile > a catalog added in version 21.1 or later on  > either select the name of the pool in the Elective and Substitutions grid or select the Elective and Substitutions tab. 

Procedure to Review the Course from the Pools and Their Order

  1. In the Courses grid, review the following values.

    Course CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

    Course NameClosed The course name.

    OrderClosed The order that the courses are displayed during advising.

    Pool CodeClosed The pool code.

    Pool NameClosed The pool name associated with the course.

    RecommendedClosed Denotes if the student is recommended for off campus employment.

If more than one pool was used to create the elective or substitution pool and there was an order specified in the pool, Anthology Student combines the orders. For example, if you specified ART101 and MUS101 as recommended in position 1 in two different pools, ART101 and MUS101 will show at the top of the list in position 1.

Procedure to Manage the Pools

  1. In the Electives and Substitutions grid, take the appropriate action.

    Task You Want to Perform Actions to Take
    Add a pool to the elective or substitution pool

    1.  Select the Add Pool button on the toolbar.

    2.  On the dialog, review the values and select one or more pools in the list.

    ActiveClosed Specifies whether the associated record is active.

    CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

    NameClosed The descriptive name of the item.

    3.  Select the Select button.

    Anthology Student adds the pools to the grid.

    4.  If needed, make any additional changes to the OrderClosed The order in which the pools are listed during advising. of the pools in the grid and select the Save button on the toolbar.

    Remove a pool from the elective or substitution pool

    1.  Select the check box for the pool.

    2.  Select the Remove Pool button in the toolbar.

    Delete the elective or substitution pool

    1.  Select the entry in the grid for the substitution pool.

    2.  On the toolbar, select the button appropriate for the type of pool. Either: 

    • Delete Elective Pool

    • Delete Substitution Pool

    Anthology Student displays a confirmation dialog box to delete the pool and any pool associations.

    3.  Select the Delete button.
