Background for Servicer Export

Student financial aid data is often processed by third-party providers known as servicers. The servicer currently supported is Global. Global requires enrollment information for the students requiring and receiving financial aid. The files Anthology Student creates adhere to the specifications for the servicer Global.

Types of Exported Files

Three types of files are exported for Global.

Type of File	Student Extracted to the Export File
Pre-Pull Extract	All students currently enrolled in school with a schedule for the selected upcoming terms. Anthology Student also stores the information so that it can be used when Add/Drop Extract files are created. You can create one extract file per term.
Weekly Extract	Students currently enrolled in school with a schedule for the selected upcoming terms who were not pre-pulled and not yet included in Add/Drop.
Add/Drop Extract	Students previously extracted in the Pre-Pull file to submit an update of their enrollment status. The terms available will be selected based on the add/drop date defined in the term file.

If a campus group has more than one campus, students will be extracted from all campuses. In the file, each student extracted will be identified by individual Global School ID.

How Terms Are Processed

The list of terms includes all the terms that have been configured to be Global extract terms in the campus group selected where the term start date is greater than the current date. When more than one term is selected, Anthology Student determines the term's begin and end dates based on the enrollment schedules for the students.

When a term start or end date cannot be determined for a student, Anthology Student puts their expected start date as the value for the Term Start Date and Term End Date in the file.

Statuses Used for Status Categories

Anthology Student uses T as the status for students:

With a status code of Re-Entry, NDS-Re, and SPN
Who have multiple enrollments, regardless of the status of the other enrollments

The table shows the status categories and when the student is included with a status of F (Future).

When Included as F (Future)

Enrollment and NDS-Enrollment

When they meet both of these conditions.

• They have courses in their student schedule with a course status other than Current, Posted, Dropped, or Scheduled

• Their expected start date is between the minimum start date of the terms selected and the later of the two following dates:

◦ Maximum end date of the terms selected

◦ Date selected to use when calculating the futures to extract

Applicant Processing

If their expected start date is between the minimum start date of the terms and the later of the two following dates:

• Maximum end date of the terms selected

• Date selected to use when calculating the futures to extract

For the Weekly Extract file only, students with a status category of Enrollment or Applicant are included in the file if their expected start date falls between the earliest term start date and the latest term end date selected to use when calculating the futures to extract. The data included in the file is the student:

Name
Social Security Number (SSN)
Planned start date

When the Estimated Enrollment Status (ESTES) Field is Populated

The Estimated Enrollment Status (ESTES) field is populated with an asterisk (*) when all of these conditions are met.

You select the Include Notification of Payment Recalculation check box when you generate the file.
You selected the Schedule Changes Require Payment Notification check box for that term on the Define Relationships page.
You configured the number of days after the term start date that must have elapsed for the particular child term on the Define Relationships form.
The stored scheduled hours for the child term used in calculating the current scheduled hours is different than the value last reported for the student for that particular child term.
If the stored scheduled hours are different, the difference is the particular type of schedule change defined for that term on the Define Relationships form (such as increases only, decreases only, both increases and decreases).

How Anthology Student Determines Attendance Violations

The global extract definition file contains the Attendance Flag field as a Yes or No indicating if the student is within the attendance standards or not.

For all types of extracts, a student is flagged as being in attendance violation within the extract file if the student is a member of the student group designated as the Global attendance violation group for the campus.

If the group does not exist or is not configured, Anthology Student evaluates the students and updates the field using the attendance policy configured by your institution.
