Configure General Settings for Contact Manager

You can use the General page to specify: 

  • Whether or not you want to secure documents and tasks using policies

  • The defaults and format of for task templates with an Event Type that begins with Email

  • How Anthology Student handles locked tasks (Tasks are locked when they are being edited.) 

  • Whether or not you want Anthology Student to prompt staff members to add a document when the FERPA Indicator is changed for a student on their Student Profile

The page also displays how emails are sent. The mail server can be configured from the Windows service configuration files if you have permission.

Prerequisites

You must have:

  • To view the settings, Contact Manager – Settings – View authorization

  • To specify or change the settings, Contact Manager – Settings – Manage authorization

If you want to add a FERPA document, you:

Access Method

Select the Settings tile > expand Contact Manager > select General.

Procedure to Add or Edit Items

  1. Specify or change the values.

Default 'From ' Email Address (If Not Configured)Closed If the task template is an Event Type that begins with Email and no advisor type was configured for the task template, the email address you want Anthology Student to use as the from email when it is sent. For example, you can configure a task template to be from their assigned Admissions Advisor. If no advisor is configured in the task template, Anthology Student will use this email address.

Default 'From ' Sender Name (If Not Configured)Closed If the task template is an Event Type that begins with Email and no advisor type was configured for the task template, the name you want Anthology Student to use as the from name when it is sent. For example, you can configure a task template to be from their assigned Admissions Advisor. If no advisor is configured in the task template, Anthology Student will use this name.

Default Permission in All Policies for New Task TemplatesClosed Select the default permissions for new task templates. If you want new task templates added to all policies with assign, read, edit, and close permission, select Full Access for New Tasks. If you want the new task templates added to all policies with no permissions, select No Access for New Tasks. If you want new task templates added to the policy selected for the staff member who created it with assign, read, edit, and close permission and added to all other policies with no permissions, select Use Author Permission for New Tasks.

Email Format Closed Select the format for emails. Plain text does not support HTML formatting. If you select HTML, you can insert HTML formatting codes. You can also use an external HTML editor to create a message that you can then cut and paste into your email message.

FERPA Document Closed Select Yes to specify that you want Anthology Student to display the Documents page for a student when the FERPA Indicator is changed on their Student Profile so that the staff member is prompted to add any required FERPA documents.

Number of Minutes After Form Closes Before Task is Unlocked Closed The maximum length of time a task can be locked after the page used to edit the task is closed before it is automatically unlocked by Anthology Student.

Number of Minutes Task Can Be Locked for EditingClosed The maximum length of time a task can be locked by a staff member for editing before it is automatically unlocked by Anthology Student.

Save Task Prior to UnlockingClosed Select Yes if you want Anthology Student to save the changes the staff member made to the task before it unlocks it. Otherwise, select No.

Use Document PoliciesClosed Select Yes to specify that you want Anthology Student to use policies to filter the documents so that staff members only work with tasks relevant to their role.

Use Task PoliciesClosed Select Yes to specify that you want Anthology Student to use policies to filter the tasks so that staff members only work with tasks relevant to their role.
