View or Change Term Associations for Direct Loans

You can use the Awards tab on the Awarding page to: 

  • View the terms associated with the academic year for the student

  • Manually change the terms so that direct loans are packaged or not packaged for the loan periods that correspond to the terms

Your institution can configure program versions so that they have academic years and associated terms. Anthology Student then uses the terms to determine the loan periods and academic year dates for the Direct loans.

Based on the terms selected, the corresponding disbursement amount is calculated. For example, for a quarter-term program with only the fall and winter terms selected, the student will get packaged a third of the student's award eligibility for each disbursement (if it is not the last academic year for the student).

These are required to be accurately reported to COD and NSLDS under guidance provided in Dear Colleague Letter (DCL) GEN-13-13.

For example, if a student is enrolled in a program version that was configured to have 2 terms associated with academic year 1 and the student did not attend during one of the terms, you can manually remove the association with that term so that Direct loans are only packaged for the term that the student attends.

Prerequisites

You must have:

  • Common - Student - View authorization

  • Financial Aid - Student Award - Edit authorization

If your institution has configured permissions for fund sources, you must be in a staff group that has permission to edit the fund source.

The program version for the student must be configured to use one of the following academic calendars.

  • Non-standard terms and SE9W (Refer to the FSA handbook for additional information about this academic calendar.)

  • Standards terms of quarters, trimesters, or semesters

The program version must also have been configured to have academic years and associated terms. If there is no term association, Anthology Student displays No Term Association on the Awards page.

Access Method

Awarding lists (Select the Students tile > select the name in the Students list > expand Financial Aid > select the Awarding tile.)

Procedure to Change the Term Associations

  1. Select the Awards tab.

  2. Under the Academic Years list, select the Direct Loan Terms link.

    The Term Association dialog is displayed with the terms appropriate for the academic calendar and other configuration options that your institution configured for the program version. For example, for an academic calendar that uses a standard term of quarters with no summer terms, you have the option to select fall, winter, and spring.

  3. On the Term Association dialog, select or clear the check boxes for the terms you want to exclude from packaging. (Terms that are not available for the program version or academic year are grayed out.) 

  4. Select the Save button.
