Customizing the From Line in a Mailer

You can customize the way the From line appears to the recipient of a mailer sent as part of a campaign. You typically customize the From line in a mailer when you want to send the same mailer to different groups of targets, from different sources.

To customize the From line, you must select the Outgoing Alias value as Custom. The Outgoing Alias is the e-mail address from which the Mailers will be sent out.

You can either select the Outgoing Alias from a list of available e-mail addresses, or customize the From line to display a specific name and e-mail address.

Example

WorldWaves University has over 60 Program Directors, Program Managers, and Center Directors, in all. The complexity in this scenario is that their assignments keep changing, which is to mean that the Program Manager for one assignment becomes the Program Director for another or a Center Director in the next.

The requirement for WorldWaves University is to run an email campaign wherein the emails (in the campaign workflow) must be sent to their targets in the following order:

•   1st email: Sent from the Center Director

•   2nd email: Sent from the Program Manager

•   3rd email: Sent from the Program Director

In this scenario, the assumption is that the base object items already comprise the custom e-mail type properties called Center Director e-mail address, Program Manager e-mail address, and Program Director e-mail address.

To accomplish this task, the Campaign Owner (or the owner of the step) creates a workflow that comprises three Send Mailer steps.

•   First Send Mailer: Configures the Outgoing Alias as Custom, and set the From field, to Center Director e-mail address property.

•   Second Send Mailer: Configures the Outgoing Alias as Custom, and set the From field, to the Program Manager e-mail address property.

•   Third Mailer: Configures the Outgoing Alias as Custom, and set the From field, to the Program Director e-mail address property.

Irrespective of the change in job titles, the mailers still get sent out with the correct names and email addresses.

If the Targets send a reply, the messages are received by the corresponding e-mail addresses.

To Specify the Outgoing Alias

1.  In the workflow tab of the Campaign window, select the Send mailer Action.

2.  From the Select Mailer Template list, select the required mailer.

3.  Click Configure. The Configure From Field dialog box is displayed.

4.  Select the required value from the Outgoing Alias list of e-mail addresses.

Note 

If you select an email address from the Outgoing Alias list, the Display Name, Email Address, and Default Alias fields are disabled.

Alternatively, select Custom from the Outgoing Alias list.

The Custom value in the Outgoing Alias field allows you to select a different Display Name and E-mail Address from the respective dropdown lists. These fields list all available relationship properties for the campaign base object item, and its targets.

In a scenario where Contact is the base object of the campaign, you can select a display name and email address from the list of available Contact and Target Properties.

Additionally, User type properties of the base object in the campaign are available for selection as follows:

◦   In the Display Name field: The Name and E-mail properties are listed and can be selected.

◦   In the E-mail Address field: The Name and E-mail properties are listed and can be selected.

If you do not specify a display name, the e-mail address is displayed in the Name area of the Mailer.

5.  Select the required Display Name property and E-mail Address property from the respective fields. Alternatively, specify an appropriate name and email address in the respective fields.

Ensure that the value you specify in the email address is a valid email ID.

6.  Select a value for the Default Alias field.

Note 

The Default Alias field is enabled, only when you select a property from the E-mail Address field. If the property that you selected from the E-mail Address dropdown list, does not have a value associated with it, then the Default Alias is used.

Ensure that the value of the property that you select here, is a valid email address . If you select a property that has a value, which is not a valid email address, then the Campaign Dispatcher will fail.

7.  Click OK.

Note 

Your administrator can configure read receipts for the Mailers sent as part of a Campaign. If the administrator has configured this option, read receipts for e-mail messages will be received by the e-mail address configured for the Campaign Dispatcher, and not by the address specified in the From line of the Mailer.
