About Leads
In Web Client, a Lead is a prospect that makes an inquiry to seek admission into a higher education institution. Details of the lead's progress through various phases in the admission cycle are managed by integrating CampusNexus CRM with an external Student Information System (SIS). When a lead is created, the record is associated with a corresponding contact that exists, or, associated with a new contact that gets created, by default.
To complete the admission cycle, the lead progresses through various phases that are called Stages in CampusNexus CRM. A Stage is a phase in the lead's lifecycle where the lead or the university completes a predefined set of activities.
The first stage is New Lead, where the lead remains at this stage till the lead submits copies of recommendations to the university. The lead then progresses to the next stage, which is Admission. This happens only if the requirements of the previous stage are met.
When a lead is created in Web Client, the contact information associated with the lead automatically gets associated with a student in SIS. Depending on the lead stage, the student progresses to become an Application or Inquiry record in SIS. The application and inquiry records are then associated with the corresponding leads in Web Client. When lead records are edited in Web Client, the corresponding application records are updated in SIS.
Similarly, when an Application record is created in SIS, a lead item is created in Web Client. The lead is then associated with a contact. In SIS, enrollment records are created when the application progresses to the enrollment status. After database synchronization, enrollments are created in Web Client and are associated with the corresponding leads. If a matching lead record is not found for the enrollment, a lead is created and the enrollment is associated with it.
Note
• When an enrollment is associated with a lead, the lead properties are not updated with the enrollment property values.
• An Inquiry record in SIS does not progress to become an enrollment.
• When a lead item is exported to SIS for the first time, an Inquiry record is created in SIS for that lead.
