Background for Academic Years and Term Association
Anthology Student uses the following values on the Program Versions page to build the academic years.
-
Academic Calendar
-
Full Academic Year Credits and Weeks
-
No. of Terms in Academic Year
-
Summer Term Credits
-
Total Hours, Total Weeks, and Total Credits configured by Academic Records (displayed at the top of the page)
Anthology Student also uses the option you selected for Academic Year Type to identify the pattern to use for building academic year sequences from the configured standard terms.
The academic years can vary from the actual student academic years based on the start date for the student and any transfer credits.
If a Student Re-Enters
If a student re-enters a program version that is configured to use standard terms or non-standard terms that are configured to be SE9W, Anthology Student automatically creates the academic years using the start date configured for the term association so that the academic year dates align with the terms.
Academic Year Validation
Anthology Student ensures that the academic years are always a complete academic year based on the selected Start Date. For example, if you select a spring start date for a program version that uses a scheduled academic year, the fall term prior to that spring is displayed and must be selected to build a complete first academic year for Direct loans. (The enrollment process will only build the terms on or after the start date you select, so the fall term is ignored.)
All subsequently configured academic years are also validated to ensure they are configured to contain the expected terms.
You can view, add, and edit start dates at two locations within Anthology Student; however, information added or updated in one location may not be visible in the other. This is because the two pages deal with different sets of records:
-
Configuration > Academic Records > Start Dates lists start dates that are defined at the campus (or campus-group) level and can be shared across a number of different program versions.
-
Configuration > Academic Records > Programs > Program Versions > Start Dates lists start dates associated with the specific program version and which may or may not be shared (or be intended to be shared) with other program versions.
For this reason, if you add a start date under Configuration > Academic Records > Start Dates and associate it with a program version from that page, it will appear on Configuration > Academic Records > Programs > Program Versions > Start Dates.
(You can accomplish the same thing by adding the start date under Configuration > Academic Records > Start Dates and then using the same Code and Start Date values to add a record in Configuration > Academic Records > Programs > Program Versions > Start Dates).
In contrast, if you add a new start date through Configuration > Academic Records > Programs > Program Versions > Start Dates, it will not automatically appear under Configuration > Academic Records > Start Dates.
If you have added a start date this way and wish to use it for other program versions, simply create a new record under Configuration > Academic Records > Start Dates using the same values for Code and Start Date. Ensure that the campus list for this record includes all of the campuses used by the record created under the Program Version and that the Shift is set either to All Shifts or to the same value used by the Program-Version-level record. If the records match, the system will behave just as it would have if the Configuration > Academic Records > Start Dates setup had been done first.
