Add Earning Lines for Federal Work-Study Earnings

In certain situations, institutions may find it necessary to manually add earning lines to a worker's earning statement. This topic outlines steps on how to include an earning line for a worker holding a Federal Work-Study (FWS) position with a Student role.

Note: Users performing this task must have the System administrator/CMC: Federal work study administrator role.

Prerequisites

Prepare the following items before you manually add earning lines for Federal Work-Study earnings:

  • Navigate to Human resources > Setup > Integration with external systems > Update Data for Anthology Payroll and run the Update Data for Anthology Payroll Batch Job to ensure that the latest values are populated for the fields in the Earning statement header section on the Federal Work-Study Earning Statements page.

  • Check that the worker is assigned to an active FWS award on the Student Awards page and that the award is in Approved status.

  • Check that the default earning code associated with the FWS award is configured for the position on the Anthology Payroll Tab.

Steps to Add Earning Lines for Federal Work-Study Earnings

You can add earning lines for FWS earning lines using the following steps:

  1. Select the required Legal entity.

  2. Navigate to Student Accounting > Federal work study > Federal work study earning statements.

  3. Select the required earning statement number.

  4. On the Federal Work-Study earnings page, in the Earning statement lines section, select Add line.

  5. Specify valid values for the earning line record.

  6. Select Save.

    The earning line record is created for the selected earning statement.
