Create a View

You can create custom views. In most cases, you will create a view as a grid and then create and customize a chart. Once the view is created, you can easily switch between the grid and chart view types. To create a view, you must also specify the type of data you want to display using a query.

When you create a view, you save it to a folder in the Views Explorer. The folder named My Views is your private folder. The other folders that are displayed depend on your role.

All folders in the Views Explorer are public except for My Views. If you create a view in My Views or move a view to the My Views folder, it will no longer be public and only you will be able to access it.

Prerequisites

While you do not have to be authorized to use the Views tile or Views pages, you must have Views - Module Data authorization for the type of data in the view.

For example, to access views that contain Admissions data, you must have Views - Admissions Data authorization.

You should also be familiar with the Background for Views.

Access Method

Select the Views tile > Explore Views tile.

Methods for Creating a New View

There are two methods for creating a new view. You can create a new view by: 

  • Specifying a new query

  • Copying an existing view and then modifying the query

Procedure to Create a View by Specifying a New Query

  1. Click the New button or New link in the center of the page. The page for specifying the query is displayed.

  2. In the View Type list, select Grid.

  3. On the toolbar, click Save.

  4. In the dialog box, specify the new name, select the folder, and click Save As.

The view is empty until you specify the type of data you want displayed using a query.

Procedure to Create a View by Copying an Existing View 

  1. In the explorer window, select the view you want to use.

  2. On the toolbar, click Save As.

  3. In the dialog box, specify the new name, select the folder, and click Save As.

  4. On the Save As dialog, specify the values.

    FolderClosed The name of the folder in the Views Explorer list where you want to save the view.

    Full or View OnlyClosed Specifies the level of access for the group you select in the Staff Groups list. Full specifies that the members of the group can edit the view. View only specified that the members of the group can only display the view.

    NameClosed The descriptive name of the item.

    Staff GroupsClosed The staff groups that can access the view. You can select more than one.

  5. Click the Save As button.

  6. In the explorer window, select the new view.

  7. In the View Type list, select Grid.

The view is empty until you specify the type of data you want displayed using a query.

Characters Supported in View Names

The name you specify for a view can contain: 

  • Any alphabetic or numeric character

  • The characters \ / : * ? " < > | ^

Other characters are not supported.
