Federal Work-Study Payments

When integrated with Anthology Payroll, use this form to view the summary of validated earning statement lines that are sent to Anthology Payroll for processing.

Note: If the values in the Amount and Hours fields do not match the values in the Processed amount and Processed hours for a specific period, earning lines should be manually updated/added in the specific earning statement with the Payment Status = New and Source =Manual Entry. For more information, refer to Add Earning Lines for Federal Work-Study Earnings.

Log Opens the log, which contains messages that are generated when an error occurs while sending FWS payment details to Anthology Student.

Fields

The following table lists the fields displayed on the FWS payment page.

Field Description
Earning statement number The earning statement number.
Worker The worker's name associated with the earning statement.
Personnel number The ID of the worker.
Pay period date The pay period start and end dates of the earning statement.
Hours worked The sum of hours from the earning lines with the payment status of Validated for the pay period.
Amount The sum of the amount generated for earning lines associated with the FWS earning code, with payment status of Validated for the pay period.
Pay statement date The date when the pay statement is generated in Anthology Payroll.
Processed quantity The final processed quantity for earning lines with the FWS earning code in Anthology Payroll.
Processed amount The final processed amount for earning lines with the FWS earning code in Anthology Payroll.
Reference Indicates whether the payment is Check or an Electronic file name.
Payment status The payment processing status. It can have one of the following values:

  • Validated - Indicates the generated earning lines are validated against the FWS awards assigned to the position of an employee.

  • Processed - Indicates the payroll has been processed in Anthology Payroll and an update has been received.

    Notes:

    • Earning lines are deemed processed in Anthology Payroll once the Pay period has ended for the Pay period and the Run control id is populated. The Run Control ID under Anthology Payroll > Inquiries > Others > Run control > Run control ID is generated for the pay group for the pay period end date with the Run type of Pay period end.

    • Earning statements/Earning lines with the Payment status of Processed cannot be edited or deleted.
Sent status The status of the earning statements sent to Anthology Student, when the Send data to Anthology Student option is selected. It can have one of the following values:

  • Pending - It is the default. The earning details are yet to be sent to Anthology Student.

  • Sent - The earning details have been successfully sent to Anthology Student.

  • Error - An error occurred while sending the earning details to Anthology Student. To view the error details, select View > Log.

  • Failed - The data was not sent to Anthology Student due to integration errors. To view the error details, select View > Log.
Bank account The bank account integrated with Anthology Student.
Check date The date when the check was generated.
Pay group The pay group associated with the Position that is used to generate the earnings.
