Locations for Working with Instructors and Admissions Representatives
There is more than one method for adding and working with some types of staff members in Anthology Student. You can add and work with:
-
All staff from the Settings tile (Select the Settings tile > locate System > select Staff > Staff Members tab.)
-
Instructors from the Processes tile (Select the Processes tile > expand Academic Records > select Instructor Maintenance in the tree.)
-
Admissions representatives from the Processes tile (Select the Processes tile > locate Admissions in the tree > select Admissions Representatives Maintenance.)
How to Designate Instructors and Admissions Representatives
You designate a staff member as an:
-
Instructor by adding them to the predefined staff group Instructors (code TEACH) or a staff group you configure with a Parent Group of Instructor Group
-
Admissions representative to the predefined staff group Admissions Rep (code REP) or a staff group you configure with a Parent Group of Admissions Rep Group
If you are:
-
Adding a staff member from the Processes tile, Anthology Student automatically makes them a member of the predefined group
-
Editing a staff member from the Processes tile, they must already be a member of the group to show up in the list
Templates for Instructor and Admissions Rep Groups
To simplify specifying general and module specific permissions, your institution can:
-
Customize the general and module specific permissions in predefined staff groups
-
Create additional instructor and admissions representative groups and configure them as templates
When you add or edit the additional staff groups, you must select a Parent Group of either:
-
Instructor Group
-
Admissions Rep Group
In the templates, you can select the permissions. Any staff member you add to the staff group inherits the specialized permissions selected for that group.
The staff groups can also be selected when the staff member is added from the Processes tile. (Anthology Student displays all the available staff groups if you add them from the Settings tile.)
While you can create other templates and select as many staff groups as needed for a staff member, keep in mind that if you add an instructor or admissions representative and select more than one group configured as Instructor or Admissions Rep group from the:
-
Processes tile, you must select which template you want to use in the Setup Template field
-
Settings tile, Anthology Student uses the settings and permissions in the predefined staff group
For information about all the predefined staff groups, see Background for Predefined Staff Groups.
Options for Working with Staff Members for the Methods
Adding or editing instructors and admissions representatives from the Processes tile is an efficient way to maintain existing staff or quickly add new staff, but does not have all the features, values, and settings that are available from the Settings tile. The table compares the 2 methods and any additional limitations.

Audit for Staff and Campuses
When staff members and settings for campuses are added or changed, Anthology Student creates an audit record in the database for almost all of the changes so that you can create SQL queries to audit the changes.
